1. GENERAL

  • Kiaf SEOUL and Kiaf PLUS, projects of Galleries Association of Korea, are operated by Kiaf Operating Committee (“Committee”), and the following terms and conditions set forth on this document are applied to all exhibitors of Kiaf SEOUL and Kiaf PLUS.
  • The Committee reserves the right to, at any time, change or issue other rules and regulations of the participation for a successful and effective operation of the fair.
  • The Committee is not responsible for any loss or damage to the exhibitors caused by not strictly following the Terms and Conditions.
  • Exhibitors must guarantee that all exhibiting artworks are authentic and are responsible to compensate for the damage caused by the sale of the forgery.
  • Committee provides all information via gallery email, which is an ID entered when all participating gallery members sign up online. All participating galleries are required to check the emails frequently to ensure there are no delays in the process. The Committee shall not be held responsible for any problems caused by disregarded emails.
  • Committee is not obligated to respond to any emails sent from unofficial gallery email addresses. Official email address must correspond to the email address provided when creating Gallery ID. All participating galleries must manage their email addresses from network hacking. The Committee shall not be held responsible for any problems caused by network hacking.

2. ADMISSION

  • For a fair evaluation, the Committee runs an independent Selection Board, comprised of both members of the Committee and respected professionals outside of the Committee.
  • Kiaf SEOUL’s booth types are divided into E, D, C, B, and A. Type A is a solo booth and only one artist can exhibit. The booth types of Kiaf PLUS are divided into C, B, and A. If a gallery needs to apply for an additional size, the applicant can apply for a custom booth and enter the desired booth size.
  • The Committee reserves the right to announce admission or change applicants’ booth types based on the admission decision reports by the Selection Board and the previous year’s Inspectors’ Reports. The Committee can intervene for the proposals, selections, booth designs and more. Galleries must accept the decisions made by the Committee without any objections. If objected, the Committee can cancel their participation in Kiaf SEOUL and Kiaf PLUS.
  • The Committee reserves a right to, at any time, cancel the gallery’s participation if the gallery has submitted false information on the application or does not obey the Terms and Conditions. Any costs followed by such cancellation are responsible by the gallery.
  • Admissions will be considered for meeting the deadlines for application submission, deposit payment, following the Terms and Conditions of the previous editions of the event, overdue for previous booth fees and extra appliances fees and the contents of the submitted application materials.
  • The Committee has the right to require additional information on the scheduled exhibition and reserves the right to prohibit the exhibition of any object that the Committee deems inappropriate for the fair. If necessary, the removal of such objects will be at the expense of the exhibitor.
  • The admission decision will be announced to individual applicants via email, and the Committee is not responsible for any disadvantage caused by not following up on the notification emails.
  • The Committee is not required to open the decision report to any gallery or organization, and the applicant can only repeal the decision through emails with the official written document if necessary.
  • Kiaf SEOUL and Kiaf PLUS only allow the participation of a gallery, but group exhibition projects can be allowed as well only if admitted by the Committee and the Selection Board.

3. BOOTH LOCATION

  • The booth size of participating galleries is based on the floor area (m²), and the location of the booth is determined through Committee’s decision.
  • Booth of an exhibitor is bounded by designated location on the final floor plan, and it is allocated by the Committee.
  • The Committee has the right to designate some booths for participating galleries for the effective operation and curation of the fair.
  • Galleries cannot change their booth location after assigned.
  • The Committee may, if necessary, change the location of allocated spaces, as well as alter the shape of the booth in certain circumstances. The Committee also reserves the right to rearrange the layout of unoccupied areas, halls and hallways, and to alter the entrances / exits of the exhibition space.
  • Fair participation is automatically canceled if the entire booth is not paid in full by the deadline.
  • The size of a booth may vary due to a pillar or an enlarged size due to varied floorplan.
  • In case pillars and fire hydrants are located inside the booth, the area is excluded from the booth area and deducted from the booth cost.

4. BOOTH OPERATION

  • Exhibitor is not allowed to sublet its booth either entirely or partially to others and is not allowed to burden the booth fee to its participating artists. If an exhibitor gets caught for such actions, participation to Kiaf SEOUL and Kiaf PLUS is automatically canceled and will be prohibited for 3 following years.
  • Exhibitor is not allowed to install artworks, appliances or furniture outside of the designated booth space including hallways. If the term is not followed, a penalty will be applied to the participation in the following edition. If necessary, exhibitor must get permission from the Committee at least 3 months before the show opening.
  • Any change in the display is only allowed before or after public hours, not during public hours (11:00 ~ 19:30).
  • Committee does not provide caption stickers or other materials besides nameplates to be installed at the top of the booth.
  • Gallery director or gallerists must be present at the booth for the public hours, and must strictly follow the closing time.
  • If an exhibitor dismantles artworks before 5pm on the closing day, a penalty will be applied to the participation in future editions.
  • All artworks must be prepared for both currency of KRW and USD.

5. PARTICIPATING ARTISTS

  • Exhibitor is not allowed to display artworks by unauthorized or unaccepted artists by the Committee, and a penalty will be applied if not following such regulation and disadvantages may apply in the next year’s review for selecting galleries.
  • There is no limit to the number of artists per booth type for each participating gallery except for Kiaf SEOUL’s Booth Type A. Kiaf Operating Committee may impose restrictions on the number of artists in each gallery if necessary.
  • Change in participating artists for Kiaf SEOUL’s Booth Type B,C,D,E and Kiaf PLUS’s A,B,C can be done only once and must be submitted by the designated date by the Committee, and the change must be less than 30% of its original list. Any change request after the deadline will not be accepted, and a penalty might be applied.
  • Change in artist for Kiaf SEOUL’s A(SOLO) booth is not allowed after admission.

6. ARTWORKS DISPLAY

  • Display and sales of advertisement posters, promotion products, and art products are strictly forbidden.
  • All the artworks must be installed inside of the designated space and are not allowed to be installed outside of the booth, including hallways or other spaces. If an artwork is installed on the outside wall, the display must be within 30 cm from the outside wall. The Committee reserves the right to re-position or remove the artwork if the display disrupts visitors’ view.
  • If an exhibitor dismantles artworks before 5pm on the closing day, a penalty will be applied to the participation in future editions.

7. DISPLAY CHANGE & MERCHANDISE EXIT

  • Any change in the display is only allowed before or after public hours, not during public hours (11:00 ~ 19:30).
  • Exhibitors must submit “Merchandise Exit Pass” directly to Kiaf SEOUL & Kiaf PLUS Office or to a representative at the exit when an artwork is to be removed from the exhibition hall. 

8. EXHIBITORS PASS

  • Exhibitors will receive exhibitors pass during the registration
  • Exhibitors Pass is strictly for gallery directors and gallerists, therefore is not transferable.
  • All exhibitors must possess the pass at all times including installation, dismantling and public hours.
  • Exhibitors must enter the exhibition hall through the exhibitor’s entrance.
  • Temporary Pass is given at the INFO DESK to staff for installation and dismantling on the days of installation and dismantling only.
  • Parking is not provided to the exhibitors or the visitors.

9. ENTRANCE

  • Entrance to the exhibition hall is allowed only for those with purchased tickets, invitation cards, VIP cards, Exhibitor Pass, or Temporary Pass. Entrance is restricted unless the following tickets or cards are not possessed.
  • Certain numbers of tickets, invitation cards, VIP cards or Exhibitors Pass will be given to the galleries prior to the fair.

10. INFORMATION ON EXHIBITING ARTWORKS

  • Exhibitors must provide accurate information on exhibiting artworks (caption, artworks list, price, etc.) to the visitors.
  • For future evaluations and reports, the Committee will require sales reports. Upon requests, exhibitors must provide such information. If accurate information is not provided to the Committee or if false information has been given, a penalty will be applied.

11. ELECTRICAL SERVICES

  • The Committee is not responsible for any loss or damages caused by a blackout or any other accidents.
  • Exhibitors are not allowed to use an individual electricity connection system and must strictly follow the fire and security regulations.
  • If exhibitors are required to use electricity for media arts, the estimated amount needed (for the entire duration of the fair) is required to be written down in the booth design submission.

12. SECURITY

  • Security service will be provided 24 hours a day by guards from the installation day to deinstallation day. However, all of the exhibiting artworks and related materials are each gallery’s responsibility for the entire duration of the fair.
  • The Committee is not responsible for any loss or damages of the exhibiting artworks.
  • Artworks cannot be removed from the exhibition hall without a merchandise exit pass during the fair period.

13. INSURANCE & IMMUNITY

  • The Committee is not responsible for either direct or indirect loss or damage caused during the fair participation.
  • All exhibitors are recommended to purchase an insurance plan for any loss or damages to the artworks including, fire, theft, burglary, damage, water leak, flood or moving of equipment in the exhibition hall.

14. PAYMENT

  • Application to the fair is not valid until the deposit payment (20% of booth fee) is confirmed. The application is automatically canceled if the deposit is not paid by the deadline.
  • Exhibitors must comply with the booth design and extra appliance payment deadlines set by the Committee, and if not paid in full, standard appliances will be given to the exhibitor and disadvantages may apply during next years’ review for selecting galleries.
  • Fair participation will be automatically canceled if the entire booth is not paid in full by the deadline.
  • Deposit for the rejected galleries will be refunded in 30 days of its announcement date. Deposit for accepted galleries will be automatically transferred to the balance of the booth fee.
  • If an exhibitor cancels the participation after the selection announcement date, the Committee can approve the cancelation after receiving an official written document for the reason for withdrawal, and the paid amount is not refundable. Also, the gallery’s participation will be prohibited for 3 following years.
  • Refunds due to non-approval will only be proceeded with the provided refund account information.
  • The application fee is non-refundable in any circumstances.

15. BOOTH DESIGN & EXTRA APPLIANCES

  • Any damages on the booth walls, designs, extra appliances will be charged to the exhibitors.
  • Any extra appliances requests besides the designated items (to be given later) must get permission from Kiaf Operating Committee.
  • Kiaf Operating Committee does not provide artwork captions, stickers, logos or sheet cuttings to exhibitors.
  • Stickers, synthetic papers (sticky papers except for sheet cuttings) are not allowed to put on the booth walls. Using galleries’ paints to paint the walls or putting a hole in the booth walls is strictly prohibited as well. In case manipulation of the wall is necessary, such as making a hole to install an artwork, please report it to Kiaf Operating Committee in advance and pay the cost for restoring the wall after the event.
  • Any put-on materials on the booth wall (caption stickers, sheet cuttings, pieces or nails) must be removed before moving out. If remained, galleries will be charged for the restoration.
  • * Complimentary items provided to each booth:
    • 6m (height) x 1.0m (width) booth walls (12 cm on thickness), White wall
      • The standard size of the wall provided for all booths is 3.6 m(height) x 1.0m(width). The extra size wall cannot be provided.
      • If the outside wall is removed, the same number of panels will be given inside of the booth for an alternative design.
      • Even if less than the default number of walls are used, the cost of the unused wall will not be returned to the gallery.
      • If a pillar is located inside a booth, the Committee provides walls surrounding the pillar.

16. INSPECTORS

  • The Committee runs Inspection during Kiaf SEOUL and Kiaf PLUS period.
  • Inspectors review exhibitors’ followings on Terms and Conditions during the installation and exhibitions and are required to submit reports to the Committee. The Inspectors’ Reports will be used for the following 3 years of Kiaf editions.
  • If exhibitors were called out by the Inspectors for any misconduct during installation or exhibition, the Committee reports to the exhibitors, and the exhibitors must change the situation immediately. If not changed, a penalty will be applied to the exhibitors.
  • Kiaf Operating Committee holds a right to inform the galleries those received the lowest grades on the previous year’s Inspectors’ Reports, and those galleries must accept the possible limitations or disadvantages without any objections. The Committee can cancel the galleries’ participation to Kiaf SEOUL and Kiaf PLUS if they do not accept such limitations or disadvantages.

17. OTHERS

  • Kiaf Operating Committee holds the rights to cancel, postpone, or shorten or extend the exhibition schedule in the event of an inevitable disaster, such as war, natural disasters, and infectious diseases, that threatens the lives and safety of exhibitors and visitors without liability or obligation to the exhibitor.
  • In the event of a disaster that requires cancellation, postponement, reduction, or extension of the exhibition schedule, the Operating Committee shall follow the official crisis response manual of the Republic of Korea Government, and a refund of the gallery participation fee will follow the actions of the Operating Committee.
  • The Committee reserves the right to expel any exhibitor who violates the rules stated herein.
  • These terms and conditions of participation are the final and exclusive agreement between the Kiaf Operating Committee and the exhibitor and shall be governed by the laws of the Republic of Korea. Jurisdiction for any legal proceedings related to Kiaf SEOUL and Kiaf PLUS will be held solely in Seoul district Court under the laws of the Republic of Korea.
